Mandatory Arrival Deadline

Vendor Load-In Closes

All vendors must arrive and complete unloading by 9:00 AM. Late arrivals may be denied entry to protect public safety and ensure the event opens on time.

Vendor Setup Must Be Complete

All booths must be completely set up, staffed, and ready for attendees. The public should not see vendors unloading or setting up once the event begins.

6th Annual Virginia Black Expo Vendor FAQ

Yes. Fresh water will be available on site. We will provide a map with the supply locations closer to the event date.

There is no maximum. We want load-in to be smooth, so bring the help you need. However, every person assisting you must be registered with their own Eventbrite ticket so they are accounted for in the event head count.

No. Vendors are responsible for their own parking.

A 10x20 booth includes two six-foot tables and up to four chairs.

A 10x10 booth includes one six-foot table. You may bring one additional table. The extra table and any décor must remain completely within your 10x10 footprint.

Nothing may impede a public walkway, extend into another vendor’s space, or interfere with your neighboring booth. Everything must remain within the confines of your purchased space.

No. Vendors receive a discounted ticket rate of $25.

Yes. The event holds a Virginia ABC Banquet License, which allows approved and properly permitted vendors to sell alcohol and conduct tastings on site.

Vendors must follow all event instructions, licensing requirements, and applicable Virginia ABC regulations.

Yes. You are welcome to reshare any Virginia Black Chamber or Virginia Black Expo post across your social media networks.

We also encourage you to create and share your own marketing to help amplify the event and let your audience know where to find you.

Vendor load-in is from 6:00 AM to 9:00 AM. All booths must be completely set up and ready by 9:30 AM.

VABCC reserves the right to prohibit entry after 9:30 AM if the late arrival would interfere with public safety or impact the 10:00 AM event start time.

This is primarily an indoor event. Unless you requested and were approved for placement outside near the Bike and Car Show, your booth will be located inside Main Street Station.

The designated unloading entrance and traffic flow will be shown on the final Vendor Map. Vendors should review the map before traveling to the venue and follow event staff directions upon arrival.

Parking locations and nearby parking options will be included in the final parking information. Vendors are responsible for their own parking and any associated parking fees.

Vendors arriving late may be prohibited from entering or setting up if doing so would interfere with public safety, event operations, or the 10:00 AM opening.

Plan for traffic, parking, unloading, vehicle removal, and booth setup so that your booth is completely ready by 9:30 AM.

No. Vendors must remain open and fully operational through the official close of the Expo at 6:00 PM. Booth breakdown may not begin before the event closes.

Electricity is not automatically included unless it was specifically selected, approved, or confirmed with your booth registration.

Do not assume that an outlet will be available at your booth. Vendors with approved electrical access should bring an appropriate heavy-duty extension cord.

A 10x10 vendor may bring one additional table. Any additional table, display, product, and décor must remain completely within the dimensions of the purchased booth space.

Displays may not extend into public walkways or neighboring booths.

Final Wi-Fi information will be posted in the Vendor Hub when confirmed. Vendors should bring a backup payment-processing option or mobile hotspot and should not rely solely on venue Wi-Fi.

Vendors may not play music or amplified audio that disrupts event programming, neighboring vendors, announcements, or the attendee experience.

Any approved sound must remain at a low volume and may be restricted or discontinued at the direction of VABCC or venue staff.

The primary Expo vendor marketplace is located indoors at Main Street Station. Vendors assigned to an outdoor area should monitor the Vendor Hub and event communications for any weather-related instructions.

Refund eligibility is governed by the vendor terms and policies accepted during registration. Vendors should review the Vendor Packet and their registration agreement for the applicable cancellation and refund policy.

The event-day support contact and check-in location will be provided to registered vendors before the Expo. Vendors may also report to the designated Vendor Check-In or Vendor Support area for assistance.

No. All signage, products, tables, displays, decorations, and equipment must remain completely within your purchased booth space.

Nothing may extend into public walkways, common areas, emergency access routes, or a neighboring vendor’s booth.
