Program & Membership Coordinator

Hourly Wage / 30-40 Hours Per Week
The Virginia Black Chamber of Commerce (VABCC) seeks a highly organized and relationship-driven Program & Membership Coordinator to support membership engagement, program delivery, communications, and daily operations.
This role is responsible for coordinating key chamber functions, including member communication, program logistics, newsletter development, and event support. The position serves as a central point of contact for members, partners, and program participants, ensuring high responsiveness, professionalism, and operational excellence.
The Program & Membership Coordinator reports to the Director of Membership Experience and works closely with the President & CEO and broader chamber team.
Key Responsibilities
Membership Engagement & Support
- Serve as a primary point of contact for membership inquiries via phone, email, and CRM platforms
- Conduct follow-up outreach with prospective and current members
- Support new member onboarding and orientation processes
- Maintain accurate membership records in GrowthZone
- Assist with membership engagement and retention initiatives
- Foster strong working relationships with businesses, community-based organizations, and partner agencies
Communication & Inbox Management
- Manage and respond to the chamber’s general inbox (info@vablackchamber.org), which receives a high volume of daily inquiries
- Answer all incoming chamber phone calls and route inquiries appropriately
- Utilize established templates and SOPs to ensure consistent and professional communication
- Identify and escalate complex or sensitive inquiries to appropriate leadership
Program & Webinar Coordination
- Coordinate scheduling and logistics for webinars, workshops, and chamber programs
- Communicate with facilitators, speakers, and program partners
- Maintain consistent communication with partner organizations to ensure coordination of services
- Support program delivery, participant communication, and follow-up
Newsletter & Communications
- Develop, draft, and distribute newsletters using the Constant Contact email marketing platform
- Coordinate content across programs, events, and member highlights
- Maintain a consistent communication calendar
- Track engagement metrics and support continuous improvement of communications
Event & Community Engagement
- Represent the chamber at events and exhibitor opportunities
- Support event coordination, registration tracking, and attendee communication
- Conduct post-event follow-up to support membership engagement and program participation
- Attend evening and weekend events as required
Administrative & Operational Support
- Support daily chamber operations and ensure timely communication and follow-through
- Maintain organized records, workflows, and documentation across systems
- Assist with internal coordination across programs, events, and membership services
- Perform other duties as assigned
Required Qualifications
- Bachelor’s degree or 5+ years of equivalent work experience
- Demonstrated experience in program coordination, membership organizations, nonprofit operations, or related field
- Strong written and verbal communication skills
- High level of organization, attention to detail, and responsiveness
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency in Microsoft Office (Word, Excel) and database/CRM systems
- Valid driver’s license, reliable transportation, and ability to travel
Preferred Qualifications
- At least 5 years of relevant professional experience, or equivalent combination of education and experience
- Experience working with small businesses, entrepreneurs, or membership-based organizations
- Experience using CRM systems such as GrowthZone
- Experience with email marketing platforms, such as the Constant Contact email marketing platform
- Strong interpersonal skills with the ability to build relationships across diverse stakeholders
- Positive, professional demeanor with the ability to work collaboratively in a team environment
Compensation & Benefits
- $24.95 – $27.65 per hour
- Approximately $51,896 – $57,502 annually based on full-time hours
- Compensation increases are aligned with performance and organizational growth
- Opportunity to contribute to a 401(k) plan
Work Environment & Physical Demands
This position requires the ability to perform essential job functions in a professional office environment, including extended periods of sitting, standing, and computer use. Occasional lifting, event setup, and travel may be required.
